Church Office Administrative Assistant

Position Title: Church Office Administrative Assistant  

Reports To: Senior Pastor or Finance Director  

Employment Type: Part-Time

Location: Model City Church (On-Site)  


Position Summary

The Church Office Administrative Assistant provides administrative support to the church staff, ministry leaders, and congregation, ensuring smooth daily operations. This role requires strong organizational skills, excellent communication, and a heart for serving in a faith-based environment.  

Primary Responsibilities

Administrative Support

– Manage the church office, including answering phone calls, sending and responding to emails, and greeting visitors. 

– Maintain and update the church calendar, scheduling meetings, events, and facility usage.  

– Organize and maintain church records, such as membership databases, pastoral care engagements and meeting minutes.  

– Order and manage office and ministry supplies as needed.  

Event and Ministry Coordination

– Collaborate with ministry leaders to provide administrative support, including scheduling, communication, planning and coordinating church events, meetings, and programs .  

– Ensure proper setup and materials are prepared for events, meetings, and services.  

Office Management

– Maintain a clean, organized, and welcoming office environment.  

– Ensure office equipment (e.g., copier, printer) is functional and serviced when needed.  

– Handle incoming and outgoing mail and packages.  

Qualifications

Education and Experience

– High school diploma or equivalent (required); additional training or certification in office administration (preferred).  

– Previous administrative experience, ideally in a church or non-profit setting (preferred).  

Skills and Competencies

– Strong organizational and time management skills with the ability to multitask.  

– Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment.  

– Excellent written and verbal communication skills.  

– Knowledge of church management software or willingness to learn (e.g., Planning Center etc.).  

– Ability to maintain confidentiality and handle sensitive information with discretion.  

– Strong interpersonal skills, demonstrating patience, kindness, and professionalism.

Work Schedule

– Part-time (20 hours) Closed on Mondays. 

– Tues – Fri (9:00am – 2:00pm)

– Flexibility for occasional evening or weekend events as needed.  

Physical Requirements

– Ability to sit, stand, and use a computer for extended periods.  

– Occasionally lift or move items up to 25 pounds (e.g., supplies or event materials).  

Compensation

– Hourly rate: $18-$20/hr based on experience
